Who we are

Instabox is a last-mile delivery company that wants to change the industry using technology. We want to offer our customers a fast and uncomplicated shipping service - all in order to make everyday life easier. We already serve over a million customers in Sweden and are growing fast. We are also expanding quickly in Denmark and Norway and now seek a Site Manager to be able to expand even more in the Helsingborg area and the Nordics as a whole.

We are now looking for a Global Office Manager who will project lead all our Office Management work globally and who has previous experience from leading facility moves, since our HQ in Stockholm is now looking for our next location.

What you will be doing

We are looking for you who is a self-starter with experience from creating great office experiences. In this role you will lead all the traditional aspects of facility management and operations as well as planning events/programs that will drive our company culture in the right direction, creating a great physical office environment.

This will include developing and eventually lead and manage of a team of Office Managers. You will establish relationships with outsourcing partners, develop, organize and implements office standards and procedures along with assisting in the implementation of these said policies and procedures.

You will also:
• Support in office creation and developments of offices in new as well as current growing markets.
• Supervise Administrative Assistant staff or equivalent. Recruit, screen, hire, train and directly supervise all assigned subordinate staff. 
• Create goals and objectives for office administration.
• Supports employment administration processes, serving as a point of contact for related matters.
• Lead administrative resource in maintaining office efficiency. Plan and implement office systems, layout, and equipment procurement.
• Manage budget for equipment and supplies, reviewing and approving procurements.
• Order office supplies like everything from furnitures to normal office supplies to checks stocks to maintain and replenish supply inventory as well as oversee the maintenance of office equipment and support with on-boarding of new employees.
• Act as liaison between management and teams for communicating information, assignments, priorities, and special requests.
• Global holistic office management perspective.

Who you are

Since communication and documentation changes in a timely manner is of importance in this role we see that you are a very organized person. 

Other desired skills and experiences we seek in you:
• Experience from handling office supplies budgets.
• Structured and have a tidy mindset and are used to develop high quality office work-environments.
• Several years of experiences within office management.
• Comfortable in creating policies and procedures. Preferred Qualifications/Experience.
• Experience in developing teams.
• Effective leadership skills.
